BiliTiles, operated by Yanshen Decorative Materials Co., Ltd. ("we," "our," or "us"), is committed to protecting the confidentiality of your designs, trade secrets, and personal information. This policy explains how we collect, use, and safeguard your data when you engage our custom mosaic lettering services.

1. Logo & Design Asset Protection

When you submit a logo, brand mark, architectural drawing, or any proprietary design for mosaic production, the following protections apply automatically:

• No redistribution. Your design files are stored exclusively in our encrypted production server and are never shared with third parties, portfolio galleries, or marketing materials without your explicit written consent.
• Project-scoped access. Only the artisan and QC technician assigned to your project can view your design files. Access logs are maintained for every file open event.
• Post-production deletion policy. Upon your written request, we will permanently delete all design source files, production renders, and material proofs within 30 days of project completion.

2. Information We Collect

We collect only the information necessary to design, produce, and deliver your commission:

• Contact information: Name, email address, phone number, and shipping address provided through our inquiry forms or WhatsApp.
• Design assets: Logos, sketches, reference images, architectural drawings, and AI preview source files you upload or send.
• Project specifications: Dimensions, material preferences, installation location details, and budget parameters.
• Payment records: Transaction logs for wire transfers, PayPal, and card payments. We do not store full credit card numbers; these are processed by our payment partners.

3. How We Use Your Information

Your data is used exclusively for:

• Generating AI previews and photorealistic renders of your proposed mosaic
• Producing and shipping your commissioned piece
• Communicating project milestones, QC photos, and delivery updates
• Issuing invoices, processing payments, and maintaining accounting records (as required by PRC law)

We do not sell, rent, or trade your personal information or design assets to any third party for any purpose.

4. Data Storage & Security

All design files and client data are stored on encrypted servers with AES-256 encryption at rest and TLS 1.3 in transit. Our production servers are located in secure data centers with biometric access controls. We retain project files for 5 years from completion date for warranty and re-order purposes, after which they are securely destroyed.

5. Third-Party Services

We use the following third-party services, each governed by their own privacy policies:

• EmailJS — processes contact form submissions (no design files transmitted)
• Google Analytics — anonymized website traffic analytics
• DHL / FedEx — shipping logistics (receives only delivery address and contact)

6. Your Rights

You have the right to:

• Request a copy of all personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Withdraw consent for marketing communications at any time
